Creating System and Email User Accounts

Note

Each time you need to use this document try to use the latest version of it at http://thegoldenear.org/rcs/user-initiation.html as it gets updated. If you also use the versions of TWEAK and Twix that it corresponds to you'll be using the most up-to-date configuration software and their corresponding instructions
TWEAK won't run over a network so either run it from local removable media (i.e. RCS Support Compendium or the Windows Toolbox) or copy it to the workstation you're currently using, then from there run tweak.bat
This document predominantly takes the form of a short description of what will be done and in brackets afterward the menu options in TWEAK or Twix used to do it

Creating a system account - Stage 1 - on the file server

Create Unix and Samba accounts for each user and configure them with your system's previously created specific template Windows profile (creating this template is documented in the 'Setting up Samba' document):

login to the file server, either at its console or from a workstation using WinSCP, as the user 'root'
you may have had Twix already copied into the root user's home directory, in which case run it using ./twix.sh, or download it and run it

choose option 'R' → 'M' - 'Create a Roaming Computing System user account' and when asked:

enter the user's organisation name (the name of your organisation)
enter any other groups they're a member of (departments / streams)
give the same password for both Unix and Samba accounts

Keep a record of the new user(s) that have been added and the groups they belong to

Creating a system account - Stage 2 - Configure Windows profile - on a workstation

Do this stage on a 'Master workstation', if you have one setup, or on any workstation that has all software installed that requires its presence for it to create a profile for that software, i.e. Nero for CD/DVD writing and Microsoft Office which may only be installed on some workstations for emergency use
Time for this section: about 15 - 25 minutes

login as the user
Per-user shortcut tidyup (TWEAK: D -> B)
Run each application that requires it in order to create per-user settings (TWEAK: B -> R automatically loads the following programs, which you just need to close again, apart from the special treatment required for the Java cache setting)
(see the Roadmap's 'Software profile compatibility; installation and configuration details' for further details).

Nero; Acrobat Reader; PageMaker; - just close these down again
Java Plug-in Control Panel - write something into the cache location, such as a space, then delete it and choose 'Apply'
(OpenOffice and Mozilla are dealt with below)

Configure each application per-user (see Roadmap's 'Software profile compatibility; installation and configuration details') (your particular organisation may not have all these installed)

PageMaker (TWEAK: B -> PM (you'll need to enter your PageMaker serial number when asked))
Acrobat Reader (TWEAK: B -> A -> A or B)
Nero (TWEAK: B -> N -> A, B)
Java Runtime Environment (TWEAK: B -> J -> K or L depending on version installed)
Irfanview (this can alternatively be made in the template Windows user profile) (TWEAK: B -> I -> G)
NoteTab (TWEAK: B -> NO -> G)
Zinf (if its used in your system) (TWEAK: B -> Z -> B, D)
Microsoft Office (if installed and if this user expects to need to use it)

Word: Tools -> Customize -> Options -> Menus show recently used commands first - off
Word: Tools -> AutoCorrect -> AutoFormat as you type and AutoFormat - turn off 'Internet and network paths and hyperlinks'
Word: Tools -> Options -> Spelling and Grammar -> Dictopnaries... -> Language -> English - set it to your specific locale

Mozilla

create/refresh user profile (TWEAK: B -> M -> U)
enable Quick Launch (TWEAK: B -> M -> V)
(Prior to TWEAK 0.8.35 this section was done differently. Before running through here, be sure your system has been upgraded to the improved approach by using option 'F', as described in the 'Workstation Installation' document, otherwise your user cache won't be set)

run Mozilla
close the Sidebar (not necessary with Mozilla 1.5 and onwards)
maximise the browser window

OpenOffice

create user profile (TWEAK B -> O -> G)
run OpenOffice
don't choose to associate HTML files with the OpenOffice HTML editor
cancel the Address Book dialog
manually configure Tools -> Options

OpenOffice.org

General -> Help Agent -> Activate - off
View -> Display -> Inactive menu items - on (OpenOffice 1.0.x only, 1.1.x has it on by default)
Print -> Printer warnings -> Paper size - on
Print -> Printer warnings -> Paper orientation - on
Paths -> Backups - My Documents
Paths -> Templates: S:\templates; H:\templates (you may have to manually make a H:\templates directory before-hand as there seems to be a bug where-by it isn't being created automatically)
Security -> Java - Enable - off

Load/Save -> General -> AutoSave every - 15 minutes - on
Language Settings

Languages -> Locale setting -> set yours here (i.e. English (UK))
Languages -> Default languages for documents -> Western -> set yours here (i.e. English (UK))
if the spellchecker dictionary for the language you want to use has been installed:
Writing Aids -> Available language modules -> choose OpenOffice MySpell SpellChecker -> Edit -> pick your language from the drop-down list -> if available, put a tick in Spelling -> OpenOffice MySpell SpellChecker (OpenOffice 1.0.x only, 1.1.x will have changed it already based on the previous changes)

manually configure Tools -> AutoCorrect/AutoFormat -> Options -> URL Recognition -> turn off for [M] and [T]
manually load menus (Tools -> Configure -> Menu - Load... - choose the menu configuration file at P:\preferences\openoffice)
manually load toolbars (Tools -> Configure -> Toolbars -> Load... - choose the toolbar configuration file at P:\preferences\openoffice)
close the application; exit in the task tray; re-load OpenOffice; chose 'never register'

if your template Windows profile has Pegasus Mail shortcuts using D: you may need to convert those desktop, Quick Launch and Start menu shortcuts to P:

If you have more than one printer (including printer-like things such as Acrobat Distiller), set the default printer as required

Creating a system account - Stage 3 - backup the Windows profile - on the file server

Make a backup of the newly configured user profile [Twix: R → R]

Creating an email account - on the mail server

login as Administrator
maximise the running version of Mercury (use the icon in the Windows system tray)
in Mercury choose Configuration -> Manage local users -> Add - enter the username and personal name
(we think the personal name has to be of the form username@domain-name - this needs checking) (due to a bug the username currently has to be a maximum of 8 characters)
logout
login as the particular user you're creating a mailbox for (on the mail server or a workstation)
run Pegasus Mail; cancel the dialog offering to setup an account; close Pegasus Mail
copy a template profile to the user and configure it to match their mailbox/user name [TWEAK: B -> P -> K]
